This continuation brings that thinking to another everyday task: reducing repeated manual entry of purchase-order documents into the PO module. A mobile device can capture or upload the source; AI helps prepare a draft for review.

Capture once, then work with the data

Our camera-based workflow starts with a photograph of a manual paper purchase order. Alternatively, upload a PDF or an email attachment containing unstructured purchase-order data. Capture every page clearly, including line items and notes.

The next step is extraction: turn the document into structured fields such as supplier, PO number, date and currency, plus line items with material codes, descriptions, quantities, units and prices. Bring those results into the PO module and save them as a draft, keeping the source document alongside them.

Then review, correct and approve. Compare the draft with the original; check missing lines, unclear digits, units, totals and possible duplicate orders. Only after a person has validated and approved it should the record be used in the warehouse process.

A minute for processing—not a deadline for judgment

The ambition is to upload and extract a 1–10 page PDF within a minute. This is a target to test, not a measured performance guarantee. File size, scan quality, connection speed and processing capacity will affect the result. Human review and approval take additional time and must not be rushed to meet that target.

The purpose is to improve the existing process: save time spent retyping so staff can focus on data quality validation and managing the data. A faster draft is useful only when it leads to a trustworthy record.
